In short
This half-day session of 3 hours introduces how to structure a professional email and use generative AI to rephrase it. Working with fictitious situations, participants refine the subject line, request and tone, then assess their versions using a review checklist before sending anything.
Why this training?
A vague subject line, a buried request or an implied deadline forces the recipient to interpret the message. Distinguishing between context, useful information and the expected action makes it easier to read quickly, particularly when several exchanges follow one another. AI can suggest shorter or more courteous wording, but it can also change a nuance or invent a commitment. The training teaches participants to give precise instructions and compare each suggestion against the facts provided. Running case study: At « Rivage Mobilier », a fictitious organisation, an assistant needs to request approval for a layout plan, specify the missing information and then follow up with her contact. A case file provides the facts that may be used, the expected timeframe and the constraints of the working relationship, without any real personal data. Application at work: In the following week, revisit a routine email without sharing sensitive data with the AI. Apply the checklist before and after rewriting, then ask a colleague to identify the expected action and deadline. Keep the useful wording, not the confidential information.
Objectives of this training
- Identify ambiguities and missing information in an email.
- Write a subject line that states the topic and the expected action.
- Structure a message around one main request and an explicit deadline.
- Ask AI to rephrase a message while preserving the facts and the desired tone.
- Assess a rewritten version using a checklist.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- Employees who write requests, confirmations or follow-ups by email.
- Assistants and team leaders who want to make their written exchanges more explicit.
Prior skills
- No prior AI knowledge required.
- Ability to write and read a professional email.
What you will work on
Read from the recipient’s perspective
Objective: Identify what prevents understanding or a response. Informative subject line, necessary context, main request; distinction between information, question and action.
Build a readable message
Objective: Organise the information before any AI-assisted rephrasing. Request placed early, short paragraphs, explicit deadline, attachments mentioned; removal of unnecessary details.
Guide AI rephrasing
Objective: Obtain alternatives without distorting the content. Prompt specifying recipient, purpose, facts, tone and length; prohibition on adding commitments; limitations of the generated suggestions.
Check before sending
Objective: Measure clarity and verify that the messages remain faithful to the original content. Five-criterion checklist; checks of recipients, facts, deadlines and attachments; responsibility for human validation.
What you take away
- Planning sheet: recipient, purpose, facts and expected response.
- Three revised emails: an approval request, a clarification and a follow-up.
- Reusable rephrasing prompt with fields to complete.
- Before/after comparison grid and pre-send checklist.
Method and assessment
- Short explanations followed by immediate practice using the running case study.
- Individual work followed by work in pairs, with participants reviewing one another’s texts.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Arrange access to a generative AI tool authorised by the organisation; otherwise, use the suggestions prepared for the exercises. Prepare a fictitious or anonymised example of an email that is difficult to understand, without names or other identifying details, contact details or confidential information.
Observable criteria: The subject line makes it possible to identify the topic and the nature of the request. ; The reader can find one main action, the person responsible and its deadline. ; Every fact and commitment matches the case file provided. ; The tone remains courteous and appropriate to the relationship, without weakening the request. ; The before/after comparison identifies the ambiguities removed and the points still requiring correction..
Frequently asked questions
Do you need to have used AI before?
No. The first prompt is built step by step using the fictitious case file.
Can we work with real emails?
Only after anonymisation and in accordance with the organisation’s rules; fictitious cases remain the basis for the exercises.
Does the AI send the messages?
No. The session focuses on writing and reviewing, without connecting to an email service or sending messages.
How do we identify an improvement?
We compare the versions against the same criteria and check that a reader can identify the request without verbal clarification.
