Source-backed HR assistant

How can you prototype an HR assistant that answers from validated documents and knows when to hand over?

In short

Over two days, totalling 14 hours excluding breaks, you build a prototype document-based HR assistant using a fictional corpus. You organise the sources, configure the instructions, test the answers and prepare a limited pilot. Quality depends on verifiable citations, confidentiality and referral to a qualified professional.

Why this training?

Scattered procedures and competing versions can produce inconsistent HR answers. A document-based assistant therefore requires a controlled corpus before any configuration takes place. A fluent answer proves neither its accuracy nor its applicability. The exercises require verifiable references, the handling of contradictions and human escalation. Running case study: The fictional organisation ‘Virelune Fabrication’ has induction guides, leave procedures and contradictory remote-working notes. Its HR team wants to test an assistant restricted to routine document-based questions, without accessing individual records. Transfer to the workplace: Propose a restricted pilot using a validated corpus, with an HR lead, a review of errors and a decision on continuation based on the tests.

Objectives of this training

  • Define permitted and excluded HR questions
  • Structure a version-controlled, traceable corpus
  • Configure a prototype with citations and abstention
  • Measure quality using a test set
  • Formalise the conditions for a supervised pilot

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • HR managers and employment documentation managers
  • AI project managers supported by an HR subject-matter lead

Prior skills

  • Know how to use generative AI and structure instructions
  • Be familiar with HR procedures and their validation workflows
  • Have an approved environment that supports the use of documents

What you will work on

  1. Define the document service

Objective: Set boundaries for HR uses. Documentary information, individual advice, sensitive decisions excluded.

  2. Audit the sources

Objective: Select usable references. Versions, validity, scopes and contradictions.

  3. Prepare retrieval

Objective: Make passages retrievable. Chunking, headings, metadata and links to documents.

  4. Write the response rules

Objective: Set boundaries for uncertain answers. Citations, clarification, abstention and escalation.

  5. Assemble the prototype

Objective: Connect questions and references. Configuration according to the environment’s verified capabilities.

  6. Build the test bench

Objective: Define the expected answers. Simple, ambiguous, out-of-scope and unanswerable questions.

  7. Evaluate the answers

Objective: Quantify documentary shortcomings. Accuracy, relevance of citations and abstention.

  8. Test the safeguards

Objective: Identify dangerous outputs. Unauthorised access, disclosure and malicious instructions in documents.

  9. Correct and retest

Objective: Verify improvements. Correction of the corpus and instructions, and regression testing.

  10. Prepare the pilot

Objective: Organise a supervised trial. Access, professional validation, maintenance, thresholds and stopping.

What you take away

  • Scope charter and document register
  • Prototype and version-controlled instructions
  • Annotated test set and quality report
  • Pilot plan with responsibilities and stopping conditions

Method and assessment

  • Short teaching inputs followed by immediate practice on the running case study.
  • Individual work followed by work in pairs, with peer review of outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Check the document capabilities, access and processing conditions of the selected environment with the organisation. Prepare fictional or anonymised documents, without employee records, and identify a qualified HR professional for validation.

Observable criteria: Each document has a version, a status and an owner; Each factual answer tested cites a verified relevant passage; Cases without a source trigger abstention or referral to HR; Tests of improper access and malicious instructions are documented; Rates of correct and sourced answers are calculated using the test set.

Frequently asked questions

Does the prototype decide on individual entitlements?

No, no sensitive decisions are automated; individual situations are referred to a qualified professional.

Can employee records be imported?

Not during the exercises: only fictional or anonymised cases in approved tools.

Is full deployment included?

No. The two days produce a tested prototype and a pilot plan.

How should legal questions be handled?

Answers requiring interpretation must be checked with your legal department before use.
