Reliable operational summary
How can you obtain a short summary that preserves the decisions, alerts and actions in an operational report?

In short
In a half-day session of 3 hours discover how generative AI can help condense an operations or purchasing report. You practise using a fictitious case file, formulate a precise request, then check decisions, responsibilities and deadlines before producing an actionable summary.
Why this training?
An operational report often brings findings, discussions and commitments together in the same text. Condensing it too quickly can remove a quality caveat, turn a supplier’s proposal into a decision or omit a deadline needed for follow-up. AI can suggest an initial condensed version, but fluent wording does not prove its faithfulness to the source. The training teaches you to return to the source document to check every useful piece of information, retain uncertainties and avoid circulating invented responsibilities. Case study used throughout: The fictitious organisation Terviane Assemblage has just held a meeting involving purchasing, production and goods receiving. Its three-page report combines a delay in components, a pending quality check and a proposal for staggered delivery. The operations manager expects a summary that distinguishes confirmed decisions, options discussed and actions to follow up. Transfer to the workplace: Reuse the prompt developed during the session on your next anonymised report that has been authorised for use. Compare the summary with the source document, count omissions and unjustified additions, then have the actions approved before circulation.
Objectives of this training
- Identify decisions, alerts and actions in a report.
- Formulate a prompt specifying the recipient, length and expected structure.
- Produce an initial summary using an approved generative AI tool.
- Compare the summarised facts with the corresponding passages in the source document.
- Correct omissions and flag information that is not specified.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- Assistants and coordinators responsible for reporting on operations meetings.
- Purchasing, supply or logistics staff preparing follow-up updates.
Prior skills
- No prior AI knowledge required.
- Ability to read meeting minutes and identify a follow-up action.
What you will work on
Read before condensing
Objective: Distinguish essential information from discussion details. Difference between summarising and interpreting; decisions, findings, proposals and alerts; confidentiality principles.
Guide an initial response
Objective: Write a request that the AI can understand. Simple introduction to how generative AI works and its limitations; recipient, length, sections and a prohibition on filling in missing data.
Check faithfulness to the source
Objective: Detect discrepancies between the summary and the source. Omissions, unjustified additions, changes in certainty, numerical errors and allocation of responsibilities.
Finalise for follow-up
Objective: Make the summary readable without losing commitments. Prioritising alerts, factual wording, separating the short text from the action table; human approval before circulation.
What you take away
- Annotated report: decisions, alerts, actions and uncertainties.
- Reusable summarisation prompt with a format and rules for faithfulness to the source.
- Corrected summary of no more than 180 words, accompanied by an action table.
- Completed checklist recording identified discrepancies and corrections.
Method and assessment
- Short teaching segments followed by immediate practice on the case study used throughout.
- Individual work followed by work in pairs, with participants reviewing each other’s outputs.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Arrange access to a generative AI tool approved by the organisation, in accordance with local arrangements. Use the fictitious case file provided; any alternative document must be anonymised and authorised for use before the session.
Observable criteria: All confirmed decisions and critical alerts from the model answer are present. ; Each action retains the stated owner and deadline, or is marked « not specified ». ; No proposal is presented as an agreed decision. ; No figure, fact or commitment absent from the source is added. ; The text stays within 180 words and discrepancies are counted before and after correction..
