In short

This half-day session of 3 hours offers initial hands-on experience with generative AI using meeting notes. Participants learn to request a structured summary, identify invented or distorted information and prepare a usable document, accompanied by an action table and a check for faithfulness to the source.

Why this training?

An overly vague summary forces those who were absent to ask again what was decided; an overly assertive summary can assign a task or deadline that was never agreed. Distinguishing facts, proposals and commitments makes the document useful to read without distorting the discussions. Generative AI can suggest a readable structure for the notes, but this fluency does not prove that they have been faithfully represented. The training therefore emphasises comparison with the source, flagging missing information and human validation before circulation. Ongoing case study: The fictitious organisation « Rivage Papier » is preparing to relocate its reception area. Notes from a coordination meeting mix a decision on opening hours, two layout proposals, an uncertain delivery and several tasks with no deadline. Participants must prepare a summary for absent colleagues without turning proposals into commitments. Transfer to the workplace: At a future meeting, reuse the template with authorised, anonymised notes. Compare each decision and action with the source, have any ambiguities clarified by the person responsible for the meeting, then circulate only the validated version.

Objectives of this training

  • Identify decisions, proposals, actions and open questions in notes.
  • Formulate a request for a summary specifying recipients, sections and limits.
  • Produce a short summary accompanied by an action table.
  • Verify each commitment by linking it to a source passage.
  • Correct omissions, incorrect attributions and overly assertive wording.

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Staff responsible for communicating the conclusions of team meetings.
  • Assistants and coordinators who prepare decision records for absent colleagues.

Prior skills

  • No prior AI knowledge required.
  • Ability to read meeting notes and write a simple professional message.

What you will work on

  1. Read the notes before asking AI for help

Objective: Identify what the summary must preserve. Differences between a summary, a transcript and a decision record; introduction to plausible but inaccurate responses; confidentiality of discussions.

  2. Construct an explicit request

Objective: Guide an initial summary without filling in gaps. Context, recipients, length, sections; instructions for faithfulness to the source and handling missing owners or deadlines.

  3. Check decisions and commitments

Objective: Detect errors behind convincing wording. Omissions, confusion between suggestion and agreement, incorrect attribution; systematic reference back to source passages.

  4. Prepare for controlled circulation

Objective: Make the summary readable and explain its limitations. Information hierarchy, neutral tone, flagging points to be confirmed and validation before sending.

What you take away

  • Reusable summarisation instruction prohibiting invented information.
  • Structured meeting summary for absent colleagues.
  • Action table: task, person responsible, deadline, information to be confirmed.
  • Completed checklist with justified corrections.

Method and assessment

  • Short teaching inputs followed by immediate practice using the ongoing case study.
  • Individual work followed by work in pairs, with peer review of the outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Arrange access to a generative AI assistant authorised by the organisation; exercise materials are fictitious or anonymised. Identify internal confidentiality rules and the usual recipients of summaries; no sensitive notes are needed.

Observable criteria: All decisions in the reference answer appear in the summary. ; No proposal is presented as an agreed decision. ; Every named owner and stated deadline explicitly matches the notes. ; Missing information is flagged as not specified, without assumptions. ; The summary meets the requested length and separates decisions, actions and open points..

Frequently asked questions

Does the meeting need to be recorded?

No. The exercises use written notes; no recording or transcription service is required.

Can real notes be used?

Only after anonymisation and in accordance with internal rules, using an authorised tool. The fictitious case study is sufficient.

What should you do if a deadline is missing?

Enter « not specified » and request confirmation, without letting AI suggest a date as though it had been agreed.

Can the summary be sent straight away?

No. Check that it faithfully reflects the notes and obtain the validation required by the organisation before circulation.
