How can you turn HR documents into clear, sourced answers that employees can easily find?

In short
In a half-day session of 3 hours you use generative AI to select recurring questions, draft answers based on HR documents and check their reliability. You leave with a structured FAQ, a completed verification checklist and instructions for validation before distribution.
Why this training?
A concise HR answer can still be unusable if it omits the scope of application, the reference document or the appropriate contact. A useful FAQ distinguishes general information from individual situations that require a confidential discussion. AI can help group queries and rephrase procedures, but it can also invent a condition or omit an exception. The work therefore focuses as much on drafting as on the traceability of answers and the explicit handling of uncertainties. Case study used throughout: The fictional organisation ‘Méridiane Cartonnages’ regularly receives the same queries about leave, supporting documents for absences, expense claims and onboarding. Using four fictional internal documents and fifteen anonymised queries, participants develop twelve answers. A contradiction between documents and a question with no source must be explicitly flagged. Application at work: After the session, revisit five recurring questions from your organisation using authorised documents. Have the answers checked by a qualified HR professional before distribution, then record unresolved questions and necessary corrections to prepare for a future revision.
Objectives of this training
- Classify recurring queries by theme and intent.
- Link each answer to an identifiable internal source.
- Draft twelve answers using an authorised generative AI tool.
- Identify contradictions, missing information and individual situations.
- Assess the FAQ and prepare for its HR validation.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- HR officers and HR assistants responding to employees’ routine queries.
- Internal communications managers contributing to practical content for employees.
Prior skills
- Have already formulated and refined a simple request to a generative AI tool.
- Know your organisation’s main HR documents and contacts.
What you will work on
Define the scope of questions and sources
Objective: Separate routine queries from individual cases. FAQ scope, confidentiality, reference documents and limits of the available information.
Organise content from the employee’s perspective
Objective: Build an understandable classification without specialist vocabulary. Categories, everyday wording and the distinction between a general rule, practical steps and a personal query.
Draft without adding to the rules
Objective: Produce answers limited to documented information. Instruction specifying sources, tone, length and a prohibition on inventing information; flagging contradictions and exceptions.
Test and prepare for validation
Objective: Measure quality before any distribution. Accuracy, clarity, information retrieval, validation status and responsibility for updates.
What you take away
- Matrix of questions, themes and sources.
- Twelve-entry FAQ with references and validation statuses.
- Reusable drafting instruction with a rule against inventing information.
- Completed review checklist and revision tracking sheet.
Method and assessment
- Short inputs followed by immediate practice using the ongoing case study.
- Individual work followed by work in pairs, with peer review of outputs.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Arrange access to a generative AI tool authorised by the organisation. Prepare fictional or anonymised examples of HR questions; a fictional training pack allows participants to work without internal documents.
Observable criteria: The twelve entries present an explicit question and a directly usable answer or a justified referral. ; Each factual answer refers to the document and passage used. ; The contradiction and the absence of a source are flagged without inventing a rule. ; Five test questions allow participants to check the classification and identify search difficulties. ; The checklist distinguishes answers that can be validated, those requiring correction and those requiring expert review..
Frequently asked questions
Can employee files be used?
Not during the exercises: only fictional or anonymised cases are used in the authorised tools.
What should you do if two documents contradict each other?
Flag the conflict and ask HR for a decision, without letting AI choose the applicable rule.
Can the FAQ decide an individual case?
No. It directs the employee to a qualified contact; no sensitive decisions are automated.
Can a legal answer suggested by AI be added?
Not without a source and professional review. Any interpretation of regulations must be checked with your legal department.
