Initial operational uses

How can you use AI to prepare a supply update without confusing a useful summary with reliable information?

In short

This half-day session of 3 hours offers a guided introduction to generative AI applied to operations and procurement. Using a fictitious supply dossier, participants produce a progress note, verify every piece of information and assess the quality of the result using a simple checklist, without automating decisions.

Why this training?

Operations teams receive information scattered across orders, supplier messages and progress notes. AI can help rephrase it, but a fluent summary can conceal a missing lead time or turn an assumption into a commitment. Exploring these uses with a small dossier helps participants understand what the assistant actually produces. The training emphasises critical reading: tracing the source of a statement, spotting an omission and retaining human approval of follow-ups and priorities. Running case study: The fictitious organisation Ternac Assemblage is preparing its daily supply update. Supplier messages concern three component orders: a partial delivery, a confirmed lead time and a date that is still unknown. Participants must prepare a note distinguishing established facts, missing information and questions to pass on to the procurement manager. Transfer to the workplace: After the session, choose an operational summary containing little sensitive information, with internal approval. Reuse the prompt and checklist with anonymised data in an authorised tool, then have a colleague review the note before using it.

Objectives of this training

  • Identify three simple uses of AI in operational monitoring
  • Distinguish rephrasing from verified information
  • Write a prompt specifying sources, format and limits
  • Produce a progress note from the dossier provided
  • Assess the note’s faithfulness to the source information using a checklist

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Procurement and supply assistants discovering generative AI
  • Operations coordinators and team leaders wishing to understand its simple uses

Prior skills

  • No prior AI knowledge required.
  • Understand common concepts such as orders, expected quantities and supplier lead times.

What you will work on

  1. Identify uses and limitations

Objective: Understand where writing assistance can be useful in operations. Accessible principles of generative AI; summarising messages, preparing follow-ups and rephrasing instructions; risks of fabrication and disclosure.

  2. Prepare a workable request

Objective: Build an initial prompt for the supply dossier. Context, sources, sections and writing rules; distinction between facts, unknowns and suggestions; minimising the data shared.

  3. Produce and examine the note

Objective: Obtain a summary and then verify its faithfulness to the source information. Sentence-by-sentence comparison with the sources; omissions, confusion between orders and unconfirmed dates; adjusting a request.

  4. Measure quality and decide on use

Objective: Justify whether the note can be presented to the procurement manager. Counting verified statements, errors and omissions; clarity of unknowns; responsibility for approval before circulation.

What you take away

  • Overview of three operational uses and their limitations
  • Annotated prompt for a supply summary
  • Corrected progress note with source references
  • Quality checklist completed before and after correction

Method and assessment

  • Short explanations followed by immediate practice using the running case study.
  • Individual work followed by work in pairs, with peer review of the outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Arrange access to a generative AI tool authorised by the organisation, in accordance with the arrangements communicated before the session. Read the fictitious dossier provided; do not bring contracts, confidential pricing or contact details of real suppliers.

Observable criteria: The prompt specifies the source dossier, the required sections and the prohibition on inventing information. ; Every quantity and lead time included matches an identifiable source. ; Missing information is flagged as unknown, without adding estimates. ; Proposed questions remain separate from approved decisions. ; The checklist counts verified statements, errors and omissions before and after correction..

Frequently asked questions

Do you need to have used AI before?

No. The first request is built step by step using the dossier provided.

Can we use our supplier messages?

The exercises use fictitious or anonymised cases, exclusively within tools authorised by the organisation.

Does AI choose which orders to prioritise?

No. It helps present information; supply decisions remain with people.

Does the session automate follow-ups?

No. It focuses on discovering and checking a note, without connecting to procurement systems or sending messages.
