Initial guidance on AI

How can you obtain a first useful document with generative AI without confusing a plausible response with reliable information?

In short

This half-day session of 3 hours provides a guided introduction to professional uses of generative AI. Participants learn to formulate a request, produce a memo from supplied information and check its faithfulness to that information. They leave with a corrected deliverable and a simple framework for evaluating responses.

Why this training?

A fluent response may contain an invented date, omit an instruction or present an assumption as a fact. Understanding how AI generates text helps avoid equating writing quality with accuracy. At work, it is also important to decide which information may be shared and to retain human approval. A short exercise provides a practical view of what the assistant contributes, what it distorts and what still needs checking. Running case study: The fictitious organisation « Avelune Signalétique » is preparing a change to its reception opening hours. Using a fictitious information pack containing opening hours, affected services and instructions, participants must produce an internal memo of no more than 200 words, without inventing arrangements not included in the pack. Application at work: After the session, choose a low-sensitivity rewording task, check internal rules, then reuse the request template. Compare the result with the original information using the assessment framework, and have the document approved before circulation where the context requires it.

Objectives of this training

  • Explain text generation and its main limitations in simple terms.
  • Distinguish a suitable task from a request requiring additional checks.
  • Write an instruction specifying the objective, context, constraints and format.
  • Produce an internal memo from a fictitious information pack.
  • Evaluate and then correct the response by checking it against the supplied information.

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Staff in administrative, support or operational roles who are new to AI assistants.
  • Managers seeking guidance before encouraging simple uses within their team.

Prior skills

  • No prior AI knowledge required.
  • Ability to enter text and consult a document on a computer.

What you will work on

  1. Understanding what an assistant produces

Objective: Distinguish text generation from fact-checking. Accessible explanations of models, learning and generation; variable responses, plausible errors and limits to knowledge. A response does not constitute evidence.

  2. Choosing a use case and protecting information

Objective: Define the scope of a simple task and the data that may be used. Rewording, summarising and drafting; care with personal data, confidentiality and internal rules. Exclusive use of authorised tools.

  3. Formulating and then refining a request

Objective: Obtain a usable draft without technical expertise. Objective, reader, context, sources, length and tone; an instruction to flag missing information rather than invent it.

  4. Measuring quality and deciding whether to circulate

Objective: Check the result and justify the corrections. Returning to the sources; distinguishing between facts, omissions and additions. Rating each criterion: non-compliant, partially compliant or compliant.

What you take away

  • Reference sheet: capabilities, limitations and precautions.
  • Completed request template for the internal memo.
  • Corrected internal memo, accompanied by its first version.
  • Comparative quality assessment grid and record of corrections.

Method and assessment

  • Short explanations followed by immediate practice using the running case study.
  • Individual work followed by work in pairs, with participants reviewing each other’s outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Arrange access to an assistant authorised by the organisation; check the terms of use before the session. Prepare the fictitious information pack and the checking framework; do not bring confidential documents or personal data.

Observable criteria: The participant explains why a convincing response may be false. ; The request specifies the recipient, source information, format and limits. ; The memo follows the opening hours and instructions in the information pack, without unsupported factual additions. ; The grid compares the two versions for faithfulness, completeness, clarity and adherence to the format. ; The participant identifies information to exclude and the human approval required..

Frequently asked questions

Do you need to have used AI before?

No. Guidance is provided when exploring the interface and making the first request.

Which assistant is used?

An assistant authorised by the organisation, depending on available access; no advanced features are required.

Can you work on a real document?

The exercises use the fictitious information pack. Any other case must be anonymised and compatible with internal rules.

Can the memo be circulated straight away?

No: it concerns a fictitious case. Any real-world use requires fact-checking and appropriate approval.
