Incidents under control

How can you centralise operational incidents and identify overdue actions with the help of AI?

In short

In a half-day session of 3 hours you structure an incident register that operations and purchasing teams can use. AI helps define the fields, standardise descriptions and suggest checks. You produce a completed table, a tracking summary and verified updating rules.

Why this training?

Incidents scattered across messages and notes make follow-up reminders difficult. A shared register must distinguish between the problem identified, its impact, the agreed action and its progress, without confusing urgency with severity. AI can suggest a structure and rephrase reports, but it can also invent a cause or unjustifiably fill in missing information. The training establishes human validation and an explicit measure of the table’s quality. Running case study: The fictitious organisation Orvance Emballages receives components for its workshop. Twelve fictitious reports cover delivery delays, missing quantities and packaging defects. Some are incomplete or overlap. Participants must make open incidents, their owners and upcoming deadlines visible. Transfer to the workplace: On returning to work, adapt the categories and timeframes to your team’s remit, then test the register on an anonymised batch. After one week, examine missing fields and overdue actions to adjust the data entry rules before shared use.

Objectives of this training

  • Define the mandatory fields for an incident register
  • Classify reports using explicit categories and priorities
  • Build a filterable table with owners, statuses and deadlines
  • Calculate the number of open incidents and overdue actions
  • Check the completeness and faithfulness to the source of data produced using AI

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Operations and supply coordinators responsible for follow-up reminders
  • Buyers and purchasing assistants tracking supplier incidents
  • Team leaders consolidating corrective actions

Prior skills

  • Be able to enter, sort and filter data in a spreadsheet.
  • Have already made a simple request to a generative AI tool.
  • Know the usual steps for handling an operational incident.

What you will work on

  1. Define the scope of useful information

Objective: Define a register row and its mandatory fields. Identifier, date, fictitious supplier, description, impact, priority, owner, status, action and deadline; distinction between incident and action.

  2. Classify without inventing information

Objective: Turn reports into comparable data. Categories, priority rules, missing information, matching duplicates; separation of facts and hypotheses.

  3. Compile the register and summary

Objective: Make open incidents and overdue actions visible. Filters, date formats, consistent statuses; an overdue action is defined as an unfinished action whose deadline has passed; explicit reference date.

  4. Check and organise updates

Objective: Measure quality and clarify follow-up responsibilities. Checks on mandatory fields, inconsistent dates and closures without evidence; review frequency and traceability of changes.

What you take away

  • Field dictionary and classification rules
  • Completed register of the twelve reports
  • Summary of open incidents and overdue actions
  • Checklist and updating instruction

Method and assessment

  • Short instructional inputs followed by immediate practice on the running case study.
  • Individual work followed by work in pairs, with peer review of outputs.
  • Guided group review: what works, what needs correcting and what remains a human decision.
  • Preparation: Have spreadsheet software and an AI assistant authorised by the organisation available; check the access requirements. Prepare common incident categories without confidential information; the exercises use only fictitious or anonymised cases.

Observable criteria: Each incident has a unique identifier; duplicates are flagged and their handling is justified. ; Mandatory fields are completed or explicitly marked as containing information to be confirmed. ; Each open incident has an owner and a dated next action, or a visible anomaly. ; Totals for open incidents and overdue actions agree with a manual count. ; No cause, date or decision absent from the sources is presented as a fact..

Frequently asked questions

Does AI need to be connected to the spreadsheet?

No. Manual exchanges are sufficient; no connection or automation is required.

Can you use real supplier complaints?

Only after anonymisation and in accordance with internal rules; the fictitious case remains available.

Does AI decide the priority?

AI suggests a classification based on the rules provided. The participant validates the impact and priority.

Does the table replace a critical alert system?

No. Existing escalation procedures remain applicable; the register is used for tracking and follow-up reminders.
