HR document workflow

How can you design a reproducible, controlled HR document workflow that is ready for a pilot test?

In short

Over two days, totalling 14 hours excluding breaks, design a prototype for generative AI-assisted HR document production. You will structure the templates, input data and validations, then test the quality of the documents produced. The result includes an operational pack to manage a limited rollout, without automating sensitive decisions.

Why this training?

Copying and pasting between HR files spreads incorrect contact details, outdated wording and inconsistencies across sites. Without identified templates and explicit responsibilities, speeding up drafting also increases the checking workload. Generative AI can assist drafting using approved sources. Its role must remain clearly bounded: controlled data, locked passages, flagging of missing information and human validation before release. Running case study: Veldor Habitat, a fictional organisation with three sites, uses divergent versions of welcome letters, induction sheets and employment certificates. Its HR team wants to test a shared workflow on twelve fictional files, some of which contain missing or contradictory information. Transfer to the workplace: Propose a pilot limited to one document family, following agreement from HR, legal and IT. Compare corrections and validation times with the original process, then decide whether to continue, amend or suspend.

Objectives of this training

  • Map the stages and risks of an HR document workflow.
  • Structure a catalogue of templates and their mandatory variables.
  • Assemble a prototype with checks and human validation.
  • Measure discrepancies using a set of test files.
  • Formalise a pilot plan with responsibilities and stopping conditions.

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Personnel administration and HR operations managers
  • HRIS project managers and HR transformation leads

Prior skills

  • Have practical experience of producing or validating HR documents.
  • Know how to use generative AI and structure instructions.
  • Work with data tables and office document templates.

What you will work on

  1. Define the pilot scope

Objective: Choose a manageable document family. Volumes, variants, risks and exclusion of sensitive decisions.

  2. Rationalise the templates

Objective: Identify authoritative sources. Versions, owners, fixed blocks and variable wording.

  3. Formalise the input data contract

Objective: Define the necessary variables. Types, mandatory fields, minimisation and consistency checks.

  4. Set boundaries for generation

Objective: Limit unauthorised rewording. Instructions, approved sources, prohibition on inventing information and locked passages.

  5. Assemble the prototype

Objective: Connect data, template and review. Manual or semi-automated sequence according to available capabilities.

  6. Organise validation

Objective: Separate generation from authorisation to release. Permissions, statuses, history and validation by a qualified professional.

  7. Build the tests

Objective: Make defects detectable. Expected values, omissions, contradictions and an old template.

  8. Measure quality

Objective: Quantify document discrepancies. Accuracy, completeness, template compliance and corrections.

  9. Correct and retest

Objective: Check for non-regression. Diagnosis of errors in data, instructions or templates.

  10. Prepare the limited rollout

Objective: Submit a pilot proposal ready for a decision. Responsible parties, access, acceptance thresholds, maintenance and stopping.

What you take away

  • Version-controlled template catalogue and variable dictionary
  • Documented production workflow prototype
  • Test report and anomaly register
  • Pilot plan with validation workflow and indicators

Method and assessment

  • Short inputs followed by immediate practice using the running case study.
  • Individual work followed by work in pairs, with peer review of outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Prepare fictional or anonymised templates and identify their approved versions. Check the tools authorised by the organisation and its internal data processing rules.

Observable criteria: Each generated variable refers to an input data item or remains explicitly marked as missing. ; Locked passages remain identical to the approved templates. ; Incomplete or contradictory files are blocked before release. ; The report calculates the initial compliance rate and counts corrections. ; The pilot designates a qualified professional to validate the documents and provides for a return to the manual process..

Frequently asked questions

Can real employee files be used?

The exercises use only fictional or anonymised cases, within authorised tools.

Do you need to know how to programme?

No; a documented prototype with a manual sequence of steps is suitable for testing the workflow.

Are the documents legally validated?

No. Validation by a qualified professional remains necessary; applicable requirements must be checked with your legal department.

Can release be automatic?

The prototype requires human validation before release and does not automate any sensitive decisions.
