How can you use AI to prepare HR welcome material without exposing personal data or delegating a sensitive decision?

In short
This half-day session of 3 hours provides an understanding of the possibilities and limitations of generative AI in human resources. Using a fictional case file, participants prepare a welcome message and an onboarding FAQ, then check their fidelity to the information provided before any professional approval.
Why this training?
HR teams regularly write welcome messages, practical answers and internal materials. AI can suggest an initial wording, but it can also invent a procedure or present uncertain information as established fact. Understanding these limitations helps distinguish writing assistance from professional judgement. The training focuses on a low-sensitivity use: explaining onboarding information that has already been established, without assessing people or automating recruitment, remuneration or career management decisions. Running case study: The fictional organisation « Alvéane Équipements » is welcoming three new recruits to its logistics department. Its HR team has scattered notes on welcome timings, contact people and documents handed out. Participants turn this fictional case file into onboarding material, without inventing missing information. Transfer to the workplace: After the session, choose a non-sensitive HR information resource, check the permitted uses within your organisation and reuse the checking grid. Have the content approved by a qualified HR professional before distribution; regulatory points must be checked with your legal department.
Objectives of this training
- Identify three writing uses of AI in HR and their limitations.
- Distinguish usable information from personal data that must not be shared.
- Formulate a request specifying the context, sources and expected format.
- Produce draft welcome material from a fictional case file.
- Assess the fidelity of the result and correct unsupported additions.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- HR assistants and administrators wishing to discover generative AI.
- HR managers and people responsible for welcoming new employees.
Prior skills
- No prior AI knowledge required.
- Ability to consult a digital document and write a short professional message.
What you will work on
Identify uses and limitations
Objective: Distinguish writing assistance from HR decision-making. The principle of text generation, plausible but inaccurate answers, examples in welcoming employees, recruitment and internal communication.
Prepare a request without sensitive data
Objective: Build a simple instruction from controlled sources. Context, recipient, permitted information, tone and format; limitations of anonymisation and compliance with internal rules.
Draft the onboarding material
Objective: Obtain and then improve an initial HR draft. Request for rewording, accessible vocabulary, neutral tone and explicit instruction to flag unknowns.
Check before professional approval
Objective: Measure the quality of the draft and document corrections. Fact-checking, ambiguities, exclusionary wording, confidentiality and the human approval process.
What you take away
- Map of possible HR uses, uses requiring caution and excluded uses.
- Reusable instruction for drafting welcome material.
- Corrected draft comprising a welcome message and five questions and answers.
- Completed checking grid with identified errors and corrections.
Method and assessment
- Short explanations followed by immediate practice on the running case study.
- Individual work followed by work in pairs, with peer review of the outputs.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Arrange access to a generative AI tool authorised by the organisation, in accordance with its terms of use. Read the fictional case file provided; do not bring a CV, employee file or confidential document.
Observable criteria: The instruction specifies the recipient, sources, format and prohibition on inventing information. ; Each piece of practical information in the material can be traced back to the fictional case file. ; Missing information is flagged as awaiting confirmation. ; The grid counts verified, unsupported and corrected claims. ; The material contains no real personal data and remains subject to HR approval..
Frequently asked questions
Do you need to have used AI before?
No. The first request is built step by step from the welcome case file.
Can we work on employee files?
Not during this introductory session. The exercises use only fictional or anonymised cases, with no data that could identify an individual.
Can AI select candidates?
That is not the purpose of the session. No sensitive decisions or automated selection of individuals are carried out.
Can the material be distributed immediately?
No. It is an operational draft that must be approved by a qualified HR professional before any real use.
