Duties and competencies
How can you turn a recruitment requirement into a clear job description, with controlled AI assistance?

In short
This half-day session of 3 hours offers a guided introduction to generative AI applied to describing a role. Starting from a fictional requirement, participants clarify duties, distinguish essential from desirable competencies and produce a reviewed document, accompanied by a quality checklist and points to validate.
Why this training?
An imprecise description can mix together purpose, daily tasks and personal qualities. It makes expectations difficult to share between the operational manager and HR, particularly when responsibilities or genuinely necessary competencies remain implicit. AI can help organise notes and rephrase duties, but it can also add unjustified requirements. The training teaches participants to spot these additions, keep uncertainties visible and check each proposal before incorporating it. Running case study: The fictional organisation ‘Cobalt Emballages’ is creating a sales administration assistant role. The sales manager provides notes that mix order tracking, invoicing and complaints handling, without specifying the boundaries of responsibility. Participants must structure this information without inventing the missing answers. Transfer to the workplace: After the session, reuse the template for an authorised role requirement, without sharing confidential data with the AI. Have the duties confirmed by the relevant manager, then submit the corrected version to a qualified HR professional before any use.
Objectives of this training
- Identify the sections needed for a usable job description
- Distinguish between purpose, duties, activities and competencies
- Formulate a simple instruction that limits additions by the AI
- Write duties using precise action verbs
- Assess the document using a checklist and flag points to confirm
Who is it for and what are the prerequisites?
Roles and tasks concerned
- HR assistants and officers discovering AI-assisted writing
- Managers who need to describe a role for their team
- Managers of small organisations preparing a recruitment requirement
Prior skills
- No prior AI knowledge required.
- Be able to describe a few activities of a familiar role, with no HR expertise required.
What you will work on
Read the requirement before writing
Objective: Identify useful information and areas of uncertainty. Difference between an internal job description and a recruitment advertisement; purpose, reporting line, duties, working relationships and working conditions.
Discover a well-defined request
Objective: Obtain a proposal without delegating HR decisions. How a generative assistant works, possible errors and instructions: context, authorised information, expected sections, prohibition on inventing information.
Develop duties and competencies
Objective: Produce a version consistent with the work described. Action verbs, grouping activities, responsibilities and distinguishing between necessary competencies and preferences.
Check and prepare for validation
Objective: Measure quality and correct discrepancies. Checklist completed as compliant, to be corrected or to be confirmed; vigilance regarding disproportionate requirements and exclusionary wording.
What you take away
- Table of known information and questions for the manager
- Reusable, annotated writing instruction
- Structured draft job description for HR validation
- Completed quality checklist with priority corrections
Method and assessment
- Short inputs followed by immediate practice on the running case study.
- Individual work followed by work in pairs, with peer review of the outputs.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Arrange access to a generative AI assistant authorised by the organisation; a guided demonstration can replace individual hands-on use. Prepare a fictional or anonymised example of duties, without employee names, individual remuneration or confidential information.
Observable criteria: The purpose, reporting line, duties and competencies appear in separate sections. ; Each duty begins with an action verb and matches the requirement provided. ; Essential and desirable competencies are distinguished and justified. ; Missing information is flagged, without inventing an answer. ; Ambiguous or potentially discriminatory wording is identified and corrected or submitted for validation..
Frequently asked questions
Do you need to have used AI before?
No. The first request is built step by step from the notes for the fictional case study.
Can we work on a real role?
Yes, using only anonymised and authorised material. The fictional case study remains available to avoid any exposure of sensitive data.
Can the document be circulated immediately?
It must first be validated by a qualified HR professional. Any regulatory requirements should be checked with your legal department.
Can the AI choose the profile to recruit?
Not in this training: it helps with writing, without ranking candidates or automating sensitive decisions.
