In short
This half-day session of 3 hours offers a guided introduction to writing with ChatGPT. Working from a fictional brief, participants formulate a request, produce a professional email and adapt its tone. They compare versions, check the facts and leave with a reviewed text and a checking method.
Why this training?
An email can be grammatically correct while omitting an essential instruction or promising something the organisation has not planned. Assisted writing therefore requires a distinction between how fluently a text reads and how faithfully it reflects the available information. ChatGPT can suggest a structure and several ways of wording a message, but the writer remains responsible for the message sent. This introduction teaches participants to provide sufficient context, request a targeted revision and check every piece of information before distribution. Running case study: The fictional organisation Avelune Reliure needs to inform its customers that its collection point is moving temporarily. A brief specifies the opening hours, temporary address and arrangements for collecting orders. Each participant writes the information email, followed by a short version for display. Transfer to the workplace: For your next authorised writing task, reuse the template with non-sensitive information. Compare the draft and the corrected text using the assessment grid, then note which instructions genuinely improved the clarity of the message.
Objectives of this training
- Identify the information needed before requesting a text.
- Formulate an instruction specifying the recipient, objective, facts, tone and length.
- Produce a structured email from a supplied brief.
- Revise wording that is too vague, too long or inappropriate.
- Assess the text’s faithfulness and clarity using an explicit assessment grid.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- Staff who need to write information emails, short notes or internal announcements.
- Assistants and team leaders wishing to discover writing assistance without prior experience of AI.
Prior skills
- No prior AI knowledge required.
- Ability to enter text and use a browser.
- Understanding of the usual uses of professional email.
What you will work on
Discovering what the assistant produces
Objective: Distinguish a suggested text from verified information. How a generative assistant works, plausible but sometimes inaccurate responses, editorial responsibility and protection of the data entered.
Setting a framework for the first draft
Objective: Build a request that is precise enough to write the email. Recipient, purpose, source information, length, tone and a prohibition on inventing missing details.
Rewriting without distorting the message
Objective: Improve readability and adapt the format. Targeted revisions: shorten, clarify the expected action, remove jargon and adjust the level of politeness without changing the facts.
Checking and finalising
Objective: Measure improvements before human approval. A grid with four dimensions: faithfulness, completeness, clarity and tone; each dimension is scored from 0 to 2.
What you take away
- Completed writing request template
- Final email accompanied by its first draft
- Short announcement adapted for display
- Completed comparative quality assessment grid
Method and assessment
- Short instructional inputs followed by immediate practice on the running case study.
- Individual work followed by work in pairs, with participants reviewing each other’s texts.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Check access to ChatGPT if its use is authorised by the organisation; otherwise, arrange an authorised assistant suitable for the exercises. Prepare an example of a writing need without sensitive data; hands-on activities use only fictional or anonymised cases.
Observable criteria: The request states the audience, objective, permitted facts, tone and length. ; The email includes all essential information from the brief without unjustified factual additions. ; The reader immediately identifies the announced change and the expected action. ; The displayed version retains the essential instructions despite its brevity. ; The comparison documents at least two corrections and their justification..
Frequently asked questions
Do you need to have used ChatGPT before?
No. Initial use is guided, from entering an instruction to requesting a revision.
Can you copy a real customer email?
The exercises use fictional or anonymised content, only in tools authorised by the organisation.
Can the resulting text be sent straight away?
No. The facts, commitments and recipient must be checked before any distribution.
How is an improvement identified?
The same assessment grid is applied to both versions; differences are justified by specific passages, without any guarantee of performance.
