Applicable internal rules
How can scattered instructions be turned into a clear, verifiable internal policy subject to validation?

In short
In 3 hours participants use generative AI to structure and draft an internal policy based on fictional documents. They define responsibilities, address exceptions and check the consistency of the rules, then compile a validation file for the relevant managers and a qualified professional.
Why this training?
An internal policy may appear readable while leaving its scope, the people authorised to make decisions or the handling of exceptions undefined. These grey areas lead to differing interpretations and make it harder to monitor its application. AI can help organise instructions and identify contradictions, but it can also invent an obligation or present an assumption as an established rule. The training separates assisted drafting, organisational decision-making and legal validation. Running case study: The fictional company Néracime Distribution receives gifts from suppliers without any shared guidance. Procurement wants to establish rules for declarations, managers are asking for a decision-making process, and sales teams are reporting invitations that are difficult to categorise. The file includes contradictory notes and fictional examples, with no presumed legal threshold. Transfer to the workplace: Reuse the framework for another internal topic, replacing assumptions with information authorised for use. Have responsibilities confirmed, document decisions and obtain legal validation before any official circulation.
Objectives of this training
- Define the scope, intended audience and status of the document.
- Extract the proposed rules while retaining their sources.
- Draft actionable clauses using generative AI.
- Test the clauses against ordinary situations and exceptions.
- Document discrepancies, decisions and the validation process.
Who is it for and what are the prerequisites?
Roles and tasks concerned
- Legal professionals and compliance officers preparing internal documents.
- HR, procurement or operations managers contributing to the formalisation of rules of conduct.
Prior skills
- Have previously formulated and refined a simple request to a generative AI tool.
- Understand the roles involved in drafting, approving and circulating internal documents.
What you will work on
Define the rules and their sources
Objective: Distinguish established information from choices that remain open. Scope, intended audience, document status; the difference between an internal choice, an assumption and a legal obligation requiring verification.
Build a usable structure
Objective: Organise the rules around the expected actions. Purpose, definitions, responsibilities, declarations, exceptions, reporting and review; the distinction between a policy and a detailed procedure.
Draft without fabricating authority
Objective: Produce understandable and traceable clauses. Drafting instructions based solely on the sources provided; wording of prohibitions, permissions and exceptions; identification of fabricated references.
Test and prepare for validation
Objective: Measure the quality of the draft before submission. Consistency checks, comprehension testing, traceability of corrections and validation responsibilities.
What you take away
- Scoping sheet and source matrix.
- Draft gifts and invitations policy, explicitly unapproved.
- Completed checklist and correction log.
- Decision-making file and validation process.
Method and assessment
- Short instructional sessions followed by immediate practice on the running case study.
- Individual work followed by work in pairs, with peer review of the outputs.
- Guided group discussion: what works, what needs correcting and what remains a human decision.
- Preparation: Have access to a generative AI tool authorised by the organisation. Read the fictional file provided; any additional example must be anonymised and authorised for sharing.
Observable criteria: The scope specifies the intended audience, situations covered and exclusions. ; Each rule refers to a source in the file or is marked « decision required ». ; The clauses state who acts, in which situation and through which process. ; Three test cases are documented; any ambiguities identified are corrected or flagged. ; The check counts the criteria met, remaining discrepancies and outstanding validations..
Frequently asked questions
Can the document be circulated immediately?
No. It remains a draft until internal decisions have been made and it has been validated by a qualified professional.
Can real files be used?
The exercises use fictional or anonymised cases, exclusively in tools authorised by the organisation.
Does AI determine the applicable obligations?
No. Every regulatory assertion must be supported by a source; its applicability must be checked with your legal department.
Can AI accept or refuse a gift?
No. No sensitive decision is automated; the designated managers retain decision-making authority.
