In short

This seven-hour day, excluding breaks, enables participants to structure a monitoring process tailored to a business decision. Participants define requirements, select sources, test search queries, assess documents and produce a bulletin with source references. Generative AI supports the processing, under human supervision and with explicit indicators.

Why this training?

A collection of links does not constitute monitoring: without a defined scope, selection criteria and recipients, important information becomes mixed up with repeated commercial messages and outdated publications. Generative AI helps broaden search vocabulary, classify excerpts and prepare summaries. It can also invent references or remove nuances: every piece of information retained must therefore remain linked to a verified document. Continuing case study: The fictitious organisation Aveltrane Mobilier is preparing a range of disassemblable chairs. Its documentation manager must monitor technical and regulatory developments relating to repairability. A fictitious training corpus combines institutional texts, specialist articles, commercial communications, duplicates and outdated documents. Transfer to the workplace: At the end of the day, apply the assessment framework to an authorised business scope, carry out an initial monitoring cycle and compare relevance, noise and assessment time before adjusting the sources.

Objectives of this training

  • Define a monitoring scope based on the decisions to be made
  • Select sources according to their authority, currency and coverage
  • Build and compare document search queries
  • Assess results using an explicit assessment framework
  • Write a bulletin with source references and measure its relevance

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • Information specialists and monitoring officers wishing to formalise their processing workflow
  • Research, quality or innovation managers who regularly use external sources

Prior skills

  • Have experience of document research and distinguish between a primary source and commentary.
  • Be able to use a generative AI assistant and formulate a contextualised request.
  • Be able to work with a tracking table using sorting and filtering.

What you will work on

  1. Define information requirements

Objective: Turn a broad request into topics that can be monitored. Decisions to be made, recipients, geographical boundaries, languages and timeframe.

  2. Map the sources

Objective: Build a set of complementary sources. Primary sources, independence, recency, access and conditions for reuse.

  3. Develop the search queries

Objective: Improve search precision. AI-suggested synonyms, search-engine-specific operators, exclusions and logging.

  4. Assess the documents

Objective: Separate useful information, duplicates and uncertain content. Metadata, provenance, date, text status and the limitations of assisted classification.

  5. Produce the bulletin

Objective: Present traceable, decision-oriented information. Reference, supporting passage, summary, implications and distinction between fact and hypothesis.

  6. Measure and adjust the cycle

Objective: Evaluate the selection and organise its maintenance. Relevance, duplicates, topic coverage, assessment time and responsibilities.

What you take away

  • Scoping sheet with scope, exclusions and recipients
  • Source register and search query log
  • Assessment framework and measurement table
  • Bulletin with source references and an accompanying update procedure

Method and assessment

  • Short teaching inputs followed by immediate practice on the continuing case study.
  • Individual work followed by work in pairs, with peer review of the outputs.
  • Guided group review: what works, what needs correcting and what remains a human decision.
  • Preparation: Identify a business decision requiring document monitoring and the intended recipients of that monitoring. Arrange access to tools authorised by the organisation; only fictitious or anonymised cases will be used.

Observable criteria: The scope specifies decisions, topics, exclusions and frequency. ; Each retained source has a justification for its authority and currency. ; Queries are reproducible and their modifications documented. ; Every claim in the bulletin refers to a verified passage; uncertainties are flagged. ; Relevance and duplicate rates are calculated with their denominators..

Frequently asked questions

Does AI automatically search for new information?

Not necessarily. Its access depends on the authorised environment; the work can be based on supplied documents.

Can internal documents be used?

Only after authorisation and appropriate anonymisation; no sensitive content may be transmitted without approval.

How should a reference that cannot be found be handled?

Exclude it from the bulletin until the original document and supporting passage have been found.

Is the resulting monitoring comprehensive?

No. The scope, access and blind spots are documented; coverage is examined topic by topic.
