A business assistant under control

How do you configure a business assistant whose answers are useful, verifiable and limited to the intended scope?

In short

This seven-hour day, excluding breaks, enables you to scope, configure and evaluate an assistant dedicated to a business process. You formalise its instructions, prepare its reference materials and test its responses on representative cases. You leave with a documented configuration, a quality assessment and a plan for supervised deployment.

Why this training?

A customised assistant involves more than a role and a tone. Without explicit rules, it may respond outside its remit, confuse procedures or turn a suggestion into a business decision. The training links each instruction to an expected behaviour and a test. This approach allows you to correct the configuration based on observed deviations rather than an impression of fluency. Case study used throughout: The fictitious organisation « Avelune Équipements » wants to support its after-sales service: assess return requests, identify missing information and prepare a response. The assistant must consult a fictitious procedure without authorising a refund itself or inventing a commercial condition. Application at work: In your organisation, have the scope and reference materials approved by the business process owner, then organise a supervised pilot. Record errors, rerun the tests after each change and decide whether to retain or restrict the uses.

Objectives of this training

  • Define the boundaries of permitted tasks and decisions reserved for a human.
  • Write structured instructions and verifiable response formats.
  • Select relevant, up-to-date business reference materials.
  • Configure a prototype in an approved environment.
  • Measure its quality and document the necessary corrections.

Who is it for and what are the prerequisites?

Roles and tasks concerned

  • AI leads responsible for configuring assistants for a team.
  • Operational managers and subject-matter experts seeking to oversee recurring document-based assistance.

Prior skills

  • Use generative AI regularly and know how to structure a request.
  • Know a business process and its exceptions.
  • Have authorised access that allows customisation, or use a reusable set of instructions.

What you will work on

  1. Define the mission and its limits

Objective: Define an observable scope. Target user, expected inputs, processing steps, exclusions and human validation.

  2. Write the operating instructions

Objective: Translate the mission into executable rules. Role, steps, clarification questions, output format, uncertainty and targeted refusal.

  3. Prepare the reference materials

Objective: Build a controlled document collection. Document versions, contradictions, response traceability and data minimisation.

  4. Assemble the prototype

Objective: Obtain a usable configuration. Configuration based on the environment’s verified capabilities; alternative using reusable instructions; no autonomous action.

  5. Test and measure deviations

Objective: Evaluate beyond plausible responses. Accuracy, adherence to scope, format, clarification and resistance to interfering instructions embedded in documents.

  6. Correct and prepare the pilot

Objective: Decide on the conditions of use. Targeted correction, regression checks, acceptance thresholds, document owner and incident monitoring.

What you take away

  • Scope document and responsibility matrix.
  • Version-controlled configuration and reference file.
  • Test set with a scoring grid and comparative assessment.
  • User guide and supervised pilot plan.

Method and assessment

  • Short instructional sessions followed by immediate practice on the ongoing case study.
  • Individual work followed by work in pairs, with peer review of the outputs.
  • Guided group discussion: what works, what needs correcting and what remains a human decision.
  • Preparation: Choose a recurring task and bring three fictitious or anonymised examples. Check the available permissions and prepare a procedure that can be shared in the approved environment.

Observable criteria: The instructions distinguish between permitted tasks, exclusions and escalation to a human. ; Each factual response tested is checked against an identified reference. ; Incomplete cases trigger clarification rather than fabrication. ; Results before and after correction are compared using the same scoring grid. ; Remaining critical errors explicitly determine the decision on deployment..

Frequently asked questions

Is programming required?

No; the work focuses on instructions, reference materials and evaluation.

Which environment should you use?

Only a tool approved by the organisation, with customisation capabilities verified before the session.

Can you use customer files?

The exercises use only fictitious or anonymised cases, with no confidential data that has not been authorised for use.

Can the prototype make decisions on its own?

Not in this programme: refunds and other commitments remain subject to human approval.
